The VANS Media Library provides a unique service to our membership for: the opportunity to house slides in individual artist files or to post up to six images, an artist statement, selected biography and a link to their own VANS web page (e-studio). This service provides a means for access and exposure between the artist and the public. The slide registry has existed at VANS for over 25 years and with the launch of the VANS E-Studio directory in 1998, the ability to reach a much larger audience has significantly increased. With the advent of the new user friendly website, members are able to log in to create and update their own e-studio. The VANS website averages approximately 58,000 visits per month.
The slide registry and the e-studio directory are both accessed by a wide range of users, including artists, educators, critics, curators, gallery directors, designers, publishers, filmmakers, corporate buyers, researchers and private collectors.

The Video & Slide Library is housed in an audiovisual room within the VANS offices, and is open to the public during normal business hours. Viewing equipment includes a back-lit slide sorter, a loupe, a hand-held magnifying glass, a battery-operated viewer, a slide projector and slide carousels.

ELIGIBILITY Open to all VANS members. There is no limit to the number of slides or videos that can be submitted, and they may be updated at any time. 6 images housed in the E-Studio Directory on the website can only be changed once a year, but all other information can be updated as needed.
FEES The fee for the VANS slide registry and e-studio directory is $10.00/yr.
SLIDE LOANS Videos and slides may be borrowed from the Library for limited periods of time. The artist agrees to waive projection fees for educational or in-house purposes.
COPYRIGHT Copyright on all the work in the library remains strictly with the artist. Any unauthorized reproduction is a violation of the artist’s copyright, and violators may be subject to legal action. To learn more about copyright, visit the VANS Resource Library.
APPLICATION PROCEDURE
When members purchase an e-studio, they will be issued a user ID allowing them to log in to the website and create or update their e-studio following the e-studio submission guidelines (pdf) and the e-studio tutorial.
Any and all changes made to an individual’s e-studio page will then be approved by VANS personnel, before being published on the website.
general guidelines
- Documentation should be of high quality; carefully composed, properly lit, and professionally processed;
- Send duplicate video and slides only for the Media Library;
- Slides should show artwork only. Frames and props (except as an indicator of scale) should not be included;
- Use plastic slide mounts; paper mounts tend to warp and disintegrate. Glass slides break;
- Keep a copy of your slide documentation form for your records;
- Videos must be in DVD format and clearly labeled;
- Digital images can be submitted by e-mail or on disk, format: j-peg, each image should be a maximum file size of 100mb.
labeling
- All documentation should be neatly labeled using computer generated labels or a fine tip permanent black marker;
- To label slides: hold the 35 mm slide so that the image is viewed correctly. Slide should be labeled on this side and numbered according to the Slide Documentation Form (below). All slides should be labeled with the following information: artist, title, date, media, dimensions (h x w x d) and collection (optional). A dot should be placed in the lower left hand corner of the 35mm slide as viewed correctly. Use either a permanent marker or stick-on dots;
- To label digital images: name each file with the # and title corresponding to the image list eg. 01Title.jpg to ensure that works are presented in the same order as the e-studio registration form;
- Image lists should identify works in the same order as the e-studio registration form and include the title, media, date and dimensions of the works documented.

Renew or register by downloading and filling out the E-Studio Registration or Slide Documentation forms, and sending either of the forms via post with an enclosed cheque ($10).
You can also pay online by visiting the Shopping Cart page of the VANS website. There you can pay with your credit card or bank account via PayPal. If you choose to pay that way, you can then send the forms via post or e-mail.
